School Trip Coach Hire in London: A Planning Checklist for Teachers

2 min read

Organising a school trip means balancing budgets, timings and, above all, safety. Booking the right coach early takes a big job off your list. Use this checklist when you plan your next trip.

1. Confirm numbers early

Count pupils, teachers, helpers and any other adults. Every passenger needs a seat with a seat belt, so book a vehicle with a few spare seats rather than one that is exactly full.

2. Choose the right size

  • 16 seater minibuses suit small groups and sports teams.

  • 29 to 33 seat midi coaches are ideal for a single class.

  • 53 to 85 seat coaches suit year groups and whole-school trips.

3. Plan realistic timings

London traffic is unpredictable, especially at rush hour. Build in extra time for loading, toilet stops and roadworks. Coach drivers are also bound by legal limits on driving hours and required breaks, so tell your coach company the full itinerary for long days.

4. Check accessibility needs

If any pupils or staff use a wheelchair or have reduced mobility, mention it when you book. Wheelchair accessible vehicles are available.

5. Share the details with your coach company

Send us:

  • the school's pick-up address and where the coach can safely stop

  • the destination address and any coach parking information

  • departure and return times

  • a mobile number for the lead teacher on the day

6. Brief pupils before departure

Remind pupils to wear seat belts, stay seated while the coach is moving and keep the coach tidy.
